Define two things you can support with evidence
Define fit around your ability to serve the need: the problem, organisation, location, and work required. Define intent around the buying situation: an acknowledged requirement, a reason to seek help, or an evaluation step. A job title is only a clue. The first person you speak with may not own the final decision.
Add an evidence field to each assessment. Write needs support for three offices, confirmed by email rather than good prospect. If budget or timing has not been discussed, record it as unknown. Visible uncertainty is more useful than a complete-looking profile built from guesses.
- Fit: can we serve this need appropriately?
- Intent: what supports taking a buying step?
- Evidence: where did this information come from?
Choose a response for each situation
A suitable account with a clear need can move towards a requirements discussion. A suitable account with unclear intent may need one question or relevant material. An unsuitable account remains unsuitable even if it wants to buy immediately. When both dimensions are unknown, gather basic context before offering a long sales presentation.
Planning example: an Indonesian IT provider receives a pricing request from a company in its target segment. The message says nothing about the systems or problem involved. The team records potential fit, then asks about the requirement before suggesting a meeting. Urgency in the message is not treated as complete qualification.
Ask questions that change the next action
Every opening question should have a purpose. The need determines the relevant service. Location may determine whether delivery is possible. The evaluation stage helps you choose material or a conversation format. If an answer will not affect the next step, consider asking later rather than adding it to the first form.
Give form users understandable options and a way to describe a different situation. In conversation, explain why you need more detailed information. Do not force someone to invent a budget merely to fill a field. Record that it has not been set and work with the information that is actually available.
- What are you hoping to address?
- Which parts of the requirement are already defined?
- What evaluation step are you considering next?
Calibrate the team using real enquiries
Have marketing and sales independently assess a few enquiries using the same rules. Compare the decisions. A disagreement may reveal an unclear definition, missing information, or a service boundary that has never been written down. Improve the guidance from those examples so different people can reach a comparable judgement.
Also examine why leads are returned and whether that information was available earlier. Repeated requests for another service may point to unclear campaign copy. Suitable needs with later timelines require a different status from rejection. Qualification earns its place when it helps people take an appropriate action, not when it simply adds more labels.
YOUR NEXT STEP
Review a few recent enquiries and record separate evidence for fit and intent. Assign one next step to each. Use disagreements between marketing and sales to improve your rules before adding a longer form or a more elaborate scoring model.
